This Privacy Policy explains how the Born To Dance Team ("we", "us", "our", the "Team") collects, uses, and protects information when you use the BTD Team Hub mobile application (the "App"). The App is a private, invitation-based tool for members and officers of the Born To Dance Team at Victor Valley College. By creating an account or using the App you agree to this policy.

We only collect information that is necessary to run the team. Specifically:

Information you give us

• Account information — email address and a password (stored only in hashed form; we cannot see your password).
• Profile information — full name, preferred name, phone number, birthday, student ID, clothing sizes, hobbies, fun facts, allergies, health conditions or medications, and an emergency contact. These fields are optional except where indicated inside the App.
• Content you post — photos, videos, choreography clips, poll answers, chat messages, comments and reactions, absence / tardy request notes.
• Public form submissions — if you fill out our audition or workshop form (usually via a QR code), we collect the fields shown on that form so that officers can review your application.

Information collected automatically

• Event attendance — when you tap "Check in" for an event we record that check-in against your account so officers can track attendance.
• Push-notification token — a device-specific token issued by Firebase Cloud Messaging so we can deliver announcements and reminders. This token is not personal information on its own.
• Basic device and log data — standard information such as timestamps and app version, used for troubleshooting.

Payment information

• Team fees are collected through Stripe. When you pay a fee, the App opens Stripe's secure hosted checkout — your card number and billing details are entered directly into Stripe and are never seen or stored by BTD Team Hub. We only receive a confirmation from Stripe that a specific fee has been paid.

• Authenticate you and keep your account secure.
• Show the team roster, calendar, announcements, videos, polls, chat, and gallery.
• Track event attendance, absences, and outstanding fees.
• Send push notifications for announcements, upcoming events, and reminders.
• Respond to your questions or feedback sent to the contact email above.

We do not sell, rent, or trade your personal information. We do not use it for advertising.

4. Who we share information with

The App is a private team space. Content you post inside the App is visible only to other authenticated members and officers of Born To Dance Team. We share personal data outside the team only in these limited cases:

• Service providers that help us operate the App:
  • MongoDB Atlas — encrypted database hosting.
  • Firebase Cloud Messaging (Google) — delivery of push notifications.
  • Stripe — payment processing for team fees.
  These providers may only use the data to provide their service to us and are contractually required to protect it.
• Legal reasons — if required by law, subpoena, or to protect the rights, safety, or property of the Team, its members, or the public.

5. Data retention

We keep your account information for as long as you are an active member of the team, and for a reasonable period afterwards to preserve historical records (attendance, receipts, event archives). You may request deletion at any time (see Section 8).

6. Security

Passwords are hashed using industry-standard bcrypt before storage. Data is transmitted over HTTPS/TLS. Access to the administrative side of the App is limited to elected officers of the team. No system is 100 % secure — please choose a strong password and keep it private.

7. Children's privacy

BTD Team Hub is designed for college-age dancers. It is not intended for children under 13, and we do not knowingly collect personal information from anyone under 13. If we learn that we have inadvertently collected data from a child under 13, we will delete it. For workshop registrations, minors under 18 must have a parent or guardian complete the "Parent / Guardian Contact" section of the form before submitting.

8. Your rights and choices

You have the right to:

• Access the personal information we hold about you.
• Correct or update your profile at any time inside the App.
• Request that we delete your account and associated personal information.
• Opt out of push notifications through your device's Notification Settings.
• Withdraw consent to future processing at any time.

To make a request, email borntodanceteam@gmail.com from the address associated with your account. We will respond within 30 days.

9. International users

The App is hosted in the United States. If you access the App from outside the U.S., your information will be transferred to and processed in the U.S., which may have different data-protection laws than your country.

10. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will change the "Last updated" date at the top of this page and, for material changes, post an announcement inside the App. Continued use of the App after an update means you accept the revised policy.
